Do you know or are you guessing?

When dental clients ask me for the secret of successful dental offices I generally have the same reply….successful practices are run by sound business systems that are managed by a well trained staff. Sound simple, right? Unfortunately just the opposite seems to be true.

In many cases the administrative team members are more knowledgeable about the day to day operations than the owner dentist. As we all know there is minimal business training in dental school. It stands to reason that many if not most dentists have limited knowledge about the administrative functions of the dental software, insurance and the reporting mechanisms necessary for oversight.

Here is a very common scenario in my world….I ask the dentist questions about the practice, how is your Accounts Receivable? How are you managing recall? How are you tracking outstanding claims? What happens to patients that cancel and don’t reschedule?

The answers come in many forms but in most cases they are guesses and not facts. In my world data speaks! I don’t want my dentists to guess about the viability of their businesses I want them to know. The only way to get that information is for the practice to become more data driven.

This is accomplished by creating sound, written protocols for each area of the business that needs to be monitored. Each protocol or system must have an accompanying measurement tool so that data dictates. The next step is to ensure that the staff member is knowledgeable and well trained so that they know what a healthy protocol looks like.

Once standard operating procedure protocols have been created everyone will know the pulse of the practice and there will be no more guessing. As a business owner I recognize how challenging it can be to take the time to create these systems. But without them we will have a foundation of quicksand and we all know how difficult it is to build on quicksand.
